Holiday Cottage Terms and Conditions


By booking your holiday at Bryncalled Barns Holiday Cottages you agree to the following terms and conditions.


1. Your Privacy
Due to the new General Data Protection Regulations (GDPR) which came into force on 25th May 2018. We take your privacy seriously and we will never sell, pass on or give away your data to any third party. You will only be contacted by us if you have emailed or telephoned to make a booking. We only ask for the leader’s details and number in party and the information you give is kept securely for a short time after your holiday. We strongly recommend you read our Privacy Policy before booking.
2. Contract
This contract becomes binding when you receive a booking confirmation from us either by email or post.
3. Payment
Initially we would advise you to book your holiday by emailing us your requirements or telephone together with a contact number. Your booking will remain provisional for 7 days until we have received your initial deposit of 30% of the total holiday cost.
4. Balance
The balance of your holiday will be due 6 weeks prior to your arrival. Please note that we will require full payment of your holiday if booked less than 6 weeks of your arrival. If your balance is not received by the due date, your booking will be regarded as cancelled and your deposit will be forfeited.
5. Cancellation and Insurance
There is nothing worse than having to cancel your long awaited holiday therefore we strongly recommend that appropriate holiday insurance is taken out independently. If the booking is cancelled within 4 weeks before the arrival date, the entire rental fee will be forfeited and no refund will be given. For cancellations made more than 8 weeks before the arrival date, a full refund will be given less your deposit. In the event of a cancellation within six weeks of your holiday we will try our utmost to re-let your booking and refund your payment, less your deposit. If we are unable to secure a replacement booking, you the hirer will be liable for the full charges.
6. Arrival and departure
The accommodation will be ready for your holiday at any time after 4pm on the arrival day, where you will be met by us (the owners) who will give you the keys, a brief tour of the cottage and a chance for you to ask about the local area. If you expect to arrive later than 5pm, please telephone on 01547 530608 to let us know. On day of departure please vacate the property by 10am to enable us (the owners) to clean for our next guests.
7. Liability
We do not accept responsibility for injury or loss/damage to possessions, damage to vehicle and their contents and to the personal possessions you bring with you. Guests must accept total responsibility for the safety of their children inside the property and within all communal areas including the pond and play area.
8. Smoking
Smoking is NOT permitted in any of the cottages, so we kindly ask you and your party to smoke outside where an ash tray will be provided.
9. Pets
Sorry NO PETS
(Please be aware that if we see a dog/s entering the cottages or in the play area by visiting guests of the party. We have the right to ask your visitors to leave).
10. Responsibilities of the holidaymaker (Person who made the booking)
10.1 During the period of the holiday, the holiday maker (personally and on behalf of all other people visiting the property) undertakes (for the benefit of the property, owner as follows;
10.2  The number of people staying at either Swallow Cottage (Sleeps 5)  or The Granary (Sleeps 3) will not exceed the number stated on the Booking Form/Email Confirmation or Holiday Confirmation.
10.3 The Property will be used solely for the purpose of a holiday by the Holidaymaker and his/her party.
10.4  Not (without the express permission of the Property Owner) allow any person other than guests booked and staying in the Property for their holiday to use the facilities and amenities of the Property and
10.5  To notify all other members of the Holidaymaker's party of these undertakings.
10.6  To keep the Property and all furniture, utensils, equipment, fixtures and fittings in or on the Property in the same state of repair and condition as at the commencement of the holiday and to ensure that at the end of the holiday the Property is left in the same state of order and cleanliness in which it was found. The Property Owner reserves the right to levy an additional charge for any extra cleaning required after the Holidaymaker's occupancy and for any consequential loss.
10.7  To report as soon as possible to the Property Owner any damage caused by the Holidaymaker during the holiday and to reimburse the Property Owner with the cost of replacement. The Property Owner reserves the right to make a claim against the Holidaymaker for repair or loss as a result of damage caused.
10.8 We would ask you kindly to refrain from using your bed as an ironing board or leaving hot implements on the beds. The heat melts the protective mattress/duvet cover to the sheets. Both the sheet and cover would have to be replaced at a £40.00 charge before you leave or an invoice for the charge will be sent to your address as soon as the damage is discovered.
10.9 All kitchen equipment is checked and cleaned thoroughly before your arrival. Any badly chipped crockery, glasses, dishes, lids etc are replaced. If you should break or damage any kitchen equipment/ware etc, a minimum payment of £5.00 (or to the value of the broken item) must be left by the holiday maker so we can replace the broken item.
10.10 Whilst we want to ensure your total privacy and to our other guests, upon booking you accept responsibility for the proper conduct for yourself and your party whilst on holiday. If we or any other person in authority is of the reasonable opinion that you or any member of your party is behaving in a way as to cause likely danger, upset to other person or damage to the property, we will be entitled to terminate the holiday of the person/s concerned and ask them to leave the accommodation. We will have no further responsibility and pay no refunds or additional expenses. You will be made responsible for making full payment for any damages or loss caused by you or any member of your party.
10.11 We reserve the right to enter the property at any time due to problems outside our control, but will try to make contact with you first.
10.12 In the event of a breach of any of the undertakings set out in clause 9.1 the Property Owner (or his representative) can refuse to allow the Holidaymaker to take possession of the Property or make the Holidaymaker leave the Property before the end of the Holiday. In either case the Holidaymaker shall be deemed to have cancelled the Booking and the Holidaymaker shall have no claim for compensation or reimbursement whatsoever.
11. Left Property
If when cleaning we come across left items, we will endeavour to make contact with you to have the items returned but postage must be paid in full to the value of the sent item/s, if you wish the item/s to be returned.
